Number formatting in Excel allows you to change how numbers appear in a cell without changing the actual value. Proper formatting makes your data clearer, more professional, and easier to understand.
What is Number Formatting?
Number formatting controls how numbers are displayed, such as:
- Currency symbols
- Percentage signs
- Decimal places
- Date formats
- Comma separators
For example:
The value 1000 can appear as:
- 1000
- 1,000
- $1,000
- 1000%
The value stays the same, but the display changes.
How to Apply Number Formatting
Method 1: Using the Home Tab
- Select the cell(s).
- Go to the Home tab.
- In the Number group, choose a format from the dropdown list.
Method 2: Using Format Cells
- Select the cell(s).
- Right-click and choose Format Cells.
- Select the desired category.
- Click OK.
Shortcut: Press Ctrl + 1 to open the Format Cells dialog box.
Common Number Formats
1. General
- Default format
- No specific formatting applied
2. Number
- Adds decimal places
- Can include thousand separators
Example: 1,250.00
3. Currency
- Adds currency symbol
- Shows two decimal places

4. Accounting
- Similar to Currency
- Aligns currency symbols neatly
- Displays negative numbers clearly
Best for financial reports.
5. Percentage
- Multiplies value by 100
- Adds % symbol
Example:
0.25 becomes 25%

- Displays numbers as dates
